Friendly reminder for registered exhibitors

1. SET-UP: You may set-up on Thursday, September 17 between 4:00 PM and 6:00 PM and on Friday, September 18 between 8:00 AM and 9:00 AM. First come first serve.

2. DISPLAY: Your display is to be available to the participants for the duration of the event. Some of our participants will be traveling from a distance, so we want to ensure they have a chance to explore all the exhibitor information—even if they arrive later in the day. Your support in making materials accessible throughout the event is truly appreciated. You will be provided with a 6’ table and two chairs. You must provide your own table linens. Electrical outlets are available but you must provide your own extension cord. Wireless internet service is available. 

3. TRAINING: Participants will be engaged in a training session. The training is scheduled from 9:00 am until 3 p.m. There are multiple breaks, including lunch, that allow ample opportunity for participants to visit displays throughout the day. The agenda will be available on the CVPY website for download. The two representatives may attend the training event.

4. LUNCH: Your registration fee includes a continental breakfast and a boxed lunch. Only two representatives are allowed per table, and only two lunch tickets will be provided to each display table. Please keep this under consideration if you have rotating representation. 

5.  DOOR PRIZES: We are not actively soliciting exhibitors to bring door prizes; however, if you choose to provide door prizes, you will be responsible for selection and distribution of the door prize. 

6. THE PARTICIPANTS: Our expectation is that 400 participants will be registered for this event. Please be mindful that they will be coming from all regions of the state and all sectors of the system including the courts, schools, social service, and mental health systems, CPMT, FAPT teams as well as parents and foster parents. Please bring enough materials for at least 500 people, including your current rate sheets.

7. BREAKDOWN: We kindly ask that you begin packing up your materials at the conclusion of the event. If you have any questions, feel free to reach out to Vassi Griffis at [email protected] or call/text 540.729.9118.

8. ACCOMMODATIONS: Holiday Inn Express, 2000 Staples Mill Rd., Richmond, VA 804.359.6061; Courtyard by Marriott Richmond Scott's Addition, 3800 W Broad Street, Richmond, VA 804.877.0010 are close to the Conference Facility. Vendors are responsible for securing their own accommodations.

Exhibitors agree to assume all responsibility for any loss, damage or injury that they sustain or cause, and they shall indemnify and hold harmless the organizers/representative agencies of the Central Virginia Partnership on Youth and/or ACCA Shriners' Center.
